How to Close NDIS Audit Nonconformities

How to Close NDIS Audit Nonconformities

How to Close NDIS Audit Nonconformities

A non-conformity refers to issues or discrepancies in your business's quality control and assurance processes in place. Non-conformities can be a result of discrepancies or failures to meet established standards, regulations, or requirements. Closing non-conformities (NC) identified during an NDIS audit involves the following steps:

  1. Identify the root cause of the non-conformity -  The first step to close audit nonconformities is to understand the root causes behind them. This means analyzing the evidence, asking the right questions, and involving the relevant NDIS stakeholders. You want to avoid superficial or symptomatic solutions that may not address the underlying issues. A root cause analysis can help you identify the factors that contributed to the nonconformity and prevent its recurrence.
  2. Develop a corrective action plan - This plan should address the root cause of the non-conformity and include specific steps to prevent it from happening again.
  3. Implement the corrective action plan -  The next step is to implement corrective actions that address the root causes and eliminate the NDIS nonconformity. You need to define the actions, assign responsibilities, set deadlines, and monitor progress. You also need to communicate the actions to the auditors and provide evidence of their implementation. Depending on the severity and impact of the nonconformity, you may need to take immediate, short-term, or long-term actions.
  4. Verify the effectiveness of the corrective action - The final step is to verify the effectiveness of the corrective actions and ensure that they have resolved the nonconformity. You can do this by conducting a follow-up audit, reviewing the results, and checking for any residual or new issues. You should also document the verification process and report the findings to the auditors and the management. If the nonconformity is closed, you can celebrate the achievement and recognize the efforts of the team.
  5. Close the non-conformity - If the corrective action is effective, the non-conformity can be closed. This involves updating any documentation related to the non-conformity and closing it out in the audit report.

At ISO Professionals, one of our domains is that we specialise in Nonconformity closure. When non-conformities are identified by an auditor, it's essential to address them promptly and comprehensively. ISO Professionals will support you in developing corrective action plans to rectify the issues and prevent recurrence.

For those that are NDIS Registered Providers, ISO Professionals can understand compliance can be difficult in ensuring your system meets current NDIS Legislation Standards. ISO Professionals can support you in the closure of any internal and external non-conformity findings.

What is Safety in Design?

Under the WHS legislation, Safe Design means the integration of control measures early in the design process to eliminate or, if this is not reasonably practicable, minimise risks to health and safety throughout the life of the structure being designed. The safe design of a structure will always be part of a wider set of design objectives, including practicability, aesthetics, cost and functionality. These sometimes competing objectives need to be balanced in a manner that, so far as is reasonably practicable, does not compromise the health and safety of those who work on or use the structure over its life.

Also, under section 22 WHS Act, The designer must ensure structures are designed to be safe when it is used as a workplace during its lifecycle. This includes during the construction of the structure, the use for purpose for which the structure is designed, the maintenance, cleaning or repair of the structure and the eventual demolition at end of life. Designers must also consider the safety of people in the vicinity of the workplace.

Who has health and safety duties in relation to the design of structures?

1

A person conducting a business or undertaking

2

A person conducting a business or undertaking that designs a structure

3

A person conducting a business or undertaking that commissions construction work

4

A principal contractor

What is involved in managing risks associated with the design of structures?

  1.  Identify hazards and  find out what could cause harm.
  2. Assess risks, if necessary—understand the nature of the harm that could be caused by the hazard, how serious the harm could be and the likelihood of it happening. This step may not be necessary if you are dealing with a known risk with known controls.
  3. Eliminate risks so far as is reasonably practicable.
  4. Control risks, if it is not reasonably practicable to eliminate the risk, implement the most effective control measures that are reasonably practicable in the circumstances in accordance with the hierarchy of control measures, and ensure they remain effective over time.
  5. Review control measures to ensure they are working as planned.
